ABOUT THE BOSTON ATHLETIC ASSOCIATION    
Founded in 1887, the B.A.A. is a non-profit organization with a mission to promote a healthy lifestyle through sports, especially running. The B.A.A. is committed to a world where all people can access and benefit from running and an active lifestyle. The B.A.A. advances its mission and vision by organizing mass-participatory running events such as the Boston Marathon, creating or supporting community fitness events, and sponsoring a running club that serves the greater Boston area.

Key Responsibilities
PROJECT MANAGEMENT / SPECIAL PROJECTS:
  • Provide successful project management results by monitoring, managing, and executing assigned projects. Typically, those that are cross-functional in nature and/or have the CEO as a key stakeholder. Keep projects on track and on target.
  • Coordinate, track and document initiatives and outcomes. Proactively report on metrics/progress to various stakeholders, including the CEO.
  • Identify problems and opportunities, recommending and helping to implement corresponding solutions and initiatives.
  • Support, design and deliver excellent communications, including to the Board of Governors and on the behalf of the CEO.
  • Help develop, deliver and/or update systems and processes to support an effective CEO and leadership team, and optimize organizational outcomes.
  • Facilitate collaboration across internal and external stakeholders, as appropriate.
  • Build and maintain relationships, demonstrating excellent interpersonal skills, which enhance project outcomes and team culture.
EXECUTIVE ASSISTANCE
  • Effectively maintain and manage the calendar of the CEO through activities such as scheduling appointments and meetings, preparing and providing reminders, managing competing and/or urgent requests, and helping to prioritize the CEO’s time and attention.
  • Support organizational scheduling needs for the CEO’s direct reports, particularly with regard to external, leadership team, or large format meetings.
  • Arrange domestic and international travel, including transportation and accommodations for the CEO. Support limited travel needs for other staff, as assigned.
  • Contribute to the success of meetings and engagements involving the CEO by creating and distributing meeting agendas, presentations, and materials, preparing the CEO, facilitating, as requested, organizing and escalating priorities, and other such duties.
  • Compile, maintain, and distribute certain correspondence or important documents, including sensitive materials, with utmost discretion & confidentiality.
  • Other ad hoc support for the CEO and executive team, as required.
  • WHO WE’RE LOOKING FOR
  • 2-3 years or more of administrative or executive assistant experience. Senior-level EA experience preferred. AND / OR
  • 2-3 years or more of project management experience and/or executive operations experience.
  • A commitment to advancing diversity, equity, inclusion and belonging. Possesses and leverages cultural competence.
  • Demonstrated experience in communicating and interacting with executive-level personnel to share, inform, improve, and maintain open dialogue.
  • Highly organized and detail oriented.
  • Positive, flexible attitude with desire to pick up and drive projects to completion in a timely manner. Possesses not only the ability to manage your time effectively and stay on task, but also influence others to do the same.
  • Excellent communications skills.
  • Outstanding interpersonal and creative problem-solving skills; proven track record for working well across teams and with a variety of stakeholders.
  • Ability to manage complex meeting schedules and communications amongst multiple stakeholders from varied audiences.
  • Successful track record in project/program ownership.
  • Skilled in Microsoft Office and Adobe Suite required, Salesforce experience a plus.
  • Certification and/or coursework in project management (e.g., Agile project management, waterfall, Six Sigma) a plus.
  • Hospitality or travel industry experience a plus.
  • Experience working in endurance events or similar industry preferred.
WORK EXPECTATIONS AT THE B.A.A.
The role will require working some weekends and nights approaching scheduled B.A.A. events. There may be longer work hours surrounding event production and certain CEO engagements. Limited local travel required.
