Project Manager
Job Description
Project Manager is in charge of schedules, budgets, resources and deliverables for project. Monitors teams to make sure goals and objectives are being kept. Knowledge of larger landscape without neglecting granular details while tracking project health, staying alert for risk and resolving issues as they arise. Maintains standards and monitors scope with project quality.
Responsibilities
Primary Duties/responsibilities Include, But Are Not Limited To: 
  • Create email marketing campaigns to promote products or services.
  • Ensure marketing message is conveyed clearly and delivered properly.
  • Ensure messages are sent in proper form and template.

  •  Proofread emails for clarity, grammar, and spelling.
  •  Design, manage and implement digital marketing programs including email 
    marketing, paid search marketing,organic optimization (SEO), and link-building.
  • Manage regular reporting and tracking, and report metrics appropriately and flagging issues for internal stakeholders
  • Use Google Analytics to monitor web usage and provide statistics for management reporting. Analyze, interpret and present website analytics findings into clear, concise reports.
  • Analyze and report program performance; provide recommendations and results for improvement and new programs.
  • Develop and manage budgets and metrics.
  • Propose new digital marketing strategies
  • Develop thorough, insightful recommendations to improve design, technical, content, on-page and off-page optimization.
  • Manage multiple projects in a fast-paced, deadline-driven environment.
  • Perform regular reviews of the website to ensure content accuracy, timeliness and relevance.
  • Contribute to the total effectiveness of the Marketing department, communicating openly, solving problems proactively, offering creative ideas and working as a positive, engaged team member.
  • Develop and maintain various social media profiles in social and professional networking websites such as Facebook, LinkedIn and Twitter.
  • Ability to analyze marketing opportunities and advertising effectiveness
  • Manage multiple complex marketing projects
  • Manage partner and agency relationships
  • Ensure consistency in branding between current marketing campaigns, email and websites.
  • Manages/directs the activities and people associated with small to large scale projects with a focus on any or several non-IT business applications and disciplines.
  • Manage/direct all facets of single or multiple, multidimensional, mission-critical projects through the Full Project Life Cycle.
  • Collaborate/work with project sponsors, business units and users to identify project scope and focus, develop or monitor project initiatives, implement project requirements/plans/processes/tools, assign/guide/monitor project staff, and assure project success.
  • Deliver quality project solutions to business problems or issues within defined budgets and/or timelines.
  • Provide expert project guidance/support proactively through project completion.
  • Provide tracking, reporting, and presentation to management and users.
Education & Experience
  • Bachelor’s degree required; masters preferred

  • Project management qualification (PMP) or equivalent
  • Theoretical and practical project management knowledge

  • Experience in strategic planning, risk management and/or change management
  • Proficiency in project management software tools

Assist Subordinate Compliance
Responsibilities
Guarantee operations:

  • Carries out guarantee appraisal from a compliance point of view
  • Prepares guarantee / guarantee claim / claim refund decisions and takes the respective decisions as per the limits defined in the Power of Attorney as amended from time to time
  • Prepares letters of guarantee / guarantee claim notifications / claim refund invoices and signs the respective documents as per the limits defined in the Power of Attorney as amended from time to time
  • Coordinates with and supervises guarantee compliance officers in subsidiary offices
  • Ensures compliant application of the relevant sections of the Guarantee Framework Agreements/Cooperation Guidelines/Operations and Credit Risk Manuals and contributes to continuous improvement of these documents and the tools used in this context
  • Liaises with partner institutions with regard to formal and compliance issues

Corporate design, templates (for all German companies):

  • Contributes to development and maintenance of brandbook for all companies
  • Develops and maintains harmonized templates for all companies for MS Office applications with automatized formatting
  • Ensures harmonization of layout of documents / presentations / etc.
  • Ensures that all staff in Germany is trained in the application of the corporate design and templates
  • Carries out continuous fine-tuning and further development of corporate design

Public Relations:

  • Contributes to PR activities including website maintenance

Reporting and reports coordination (not applicable to portfolio and risk reports):

  • Identifies and coordinates implementation of the reporting needs as per the governance and regulatory requirements set forth in the company documentation and other respective documents
  • Collects the various information and prepares the respective reporting documents
  • Coordinates the development of the periodic reports to be submitted to the stakeholders and carries out the final editing of these documents

Corporate bodies, governance:

  • Prepares shareholder / board of trustees meetings including preparation of agendas, respective documents and resolutions
  • Takes minutes of meetings
  • Coordinates with German government authorities and other stakeholders all governance issues
  • Follows-up on actions from meetings, ensures that decisions are communicated to the respective operational bodies
  • Helps ensuring that decisions and approvals are made on the necessary levels
  • Liaises with external auditors for all issues related to guarantee operations
  • Supports subsidiary companies in preparation and documentation of their corporate bodies’ meetings

Legal:

  • Supports management regarding exact content/interpretation of legal documents
  • Supports the Management in drafting legal documents
  • Takes care of amendments of Guarantee Framework Agreements and organizes filing and maintenance of legal documents
  • Responsible for coordination with German banks regarding Guarantee Framework Agreements and establishment / reporting on blocked accounts
  • Implements and maintains KYC requirements for partner institutions

Other:

  • Manages matters related to insurance coverage
  • Carries out ad-hoc assistance tasks as per the needs and instructions of management
Qualifications And Skills

Secretary

Duties & Responsibilities

  • Executive Support
  • Completes a broad variety of administrative tasks for the Administrative Team including:
  • Managing an extremely active calendar of appointments
  • Completing expense reports
  • Composing and preparing correspondence that is sometimes confidential Arranging complex and detailed meetings, events, itineraries, and agendas Compiling documents for related meetings and events
  • Plans, coordinates and ensures the Executive Director’s, Director of Administration, Associate Director of Development and other Administrative Team Members’ schedules are followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Administrative Team’s time and offices
  • Maintains contact information and various Administrative databases
  • Manages administrative files and the organizational library
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Administrative Team and overall Team, including those of a sensitive or confidential nature; Determines appropriate course of action, referral, or response
  • Provides a bridge for smooth communication between the Team and the public; demonstrating leadership to maintain credibility, trust and support internally and externally
  • Works closely and effectively with the Administrative Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Administrative Team updated
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Administrative Team, some of which may have organizational impact
  • Successfully completes critical aspects of deliverable with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Executive Director’s ability to effectively lead the company
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures

Senior Management Liaison

  • Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending meetings
  • Assists in coordinating the agenda of senior staff and all staff meetings
  • Facilitates coordination of travel
  • Assists the Associate Director of Development with outreach plans

Commission Support and Liaison

  • Coordinates meeting agendas, space needs and arranges for refreshments
  • Maintains discretion and confidentiality in relationships with all board members
  • Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including meeting advertising requirements and advance distribution of materials before meetings in electronic/paper format

Communications, Partnerships, and Outreach

  • Ensures that staff biographies are kept up to date and responds to requests for materials regarding the staff and the organization in general
  • Works with the Associate Director of Development to complete drafts of written communications to the public
  • Other duties as assigned

Minimum Job Requirements

  • Bachelor's degree or equivalent required; Master's degree preferred
  • Strong work tenure: two or more years of experience supporting team, individual or organization
  • Experience and interest in internal and external communications, and relationship development
  • Proficient in Microsoft Office (Outlook, Word, Excel, Access 
    and Power Point), Adobe Acrobat, and Social Media web platforms
